ProInventory360 ("we", "us", "our") provides the website at proinventory360.com and the app at app.proinventory360.com. This policy explains what information we collect through them, how we use it, and the choices you have.
Who decides what the app records
The app is used by dealerships and their staff. Each dealership decides what it records about its vehicles, its customers and its people, and we hold and process that information to provide the service to the dealership. If you work at a dealership that uses ProInventory360, your dealership's administrator manages your access.
Information in the app
Your account
Your name, your work email address, your role at the dealership and your password. Accounts are created by invitation; there is no public sign-up. Passwords are handled by our sign-in provider.
Dealership records
- Vehicles: VIN, stock number, specifications, location on the lot, costs and prices, and sale details such as the buyer's name, the salesperson and the sold price.
- Holds and quotes: the customer's name, the salesperson, the amount and the date.
- The customer and dealer directory: names only. It has no fields for email addresses, phone numbers or street addresses.
- Documents you upload: factory invoices, order invoices and upfitter invoices, and the text read from them.
- Tasks, notes and notifications. An in-app notification about a sold vehicle names the buyer and the salesperson.
- The activity history: each change to a record, who made it and when.
Location
The app records your device's location at three moments only, and only while the app is open on that screen: when you submit a lot audit, while the camera is open to scan a vehicle and locate it, and while you are recording battery checks. It never tracks your location in the background.
Each reading holds the latitude, the longitude, the accuracy your device reports and the time of the reading. It is saved with the vehicle event it belongs to and the name of the person who did the work, and it becomes part of the activity history.
Your device's location permission controls this. If location is off, your work still saves, without a location.
Push notifications
If you turn on push notifications in the installed app, we store the address your browser gives us for delivering them, the keys that encrypt them and your browser type. The text shown on your lock screen is generic, such as "You have a new task"; it never includes a customer's name, a vehicle or a stock number. You can turn push notifications off at any time.
On your device
The app keeps your sign-in session and display preferences, such as which table columns you chose, in your browser's local storage. The app sets no cookies of its own and contains no analytics or advertising tracking.
Information on the website
Walkthrough requests
When you request a walkthrough, we collect what you enter in the form: your dealership, city and state, name, role, work email address, phone number, number of rooftops, units on the ground and what you use today. We also record the page you sent the form from, the page that referred you, your IP address and your browser type. We store your request and email it to our team.
Analytics
The website uses Google Analytics to count visits and walkthrough requests. Google Analytics sets cookies in your browser and sends information about your visit, including your IP address and browser type, to Google.
Fonts
The website and the app load their fonts from Google Fonts, so your browser sends Google your IP address and browser type when it requests them.
Contact form
When you use our contact form, we collect your name, email address, dealership if you give it, your message and the page you sent it from. We email it to our team to answer it; we do not store it in our database.
How we use information
- To provide, support and secure the service.

- To send the notifications you turn on.
- To answer walkthrough requests and messages sent through our contact form.
We do not sell personal information, we do not use it for advertising, and we do not add you to a mailing list.
Who we share it with
We use service providers to run ProInventory360, such as our database and hosting providers. They are listed on our Security and Subprocessors page with what each one receives. The provider that sends us your dealership's website listings receives nothing from us.
How long we keep information
We keep a dealership's information for as long as the dealership has an account with us. The activity history is kept permanently as the dealership's business record: entries are added, never edited or removed. When a dealership closes its account, or asks us to, we delete or export its information using our documented procedure.
Your choices
- Location: turn your device's location permission on or off at any time.
- Push notifications: turn them on or off in the app.
- Your account: your dealership's administrator can change your role or remove your access.
- To ask for a copy of your information, a correction or deletion, contact us through our contact form and choose "Privacy request". For records your dealership controls, we work with your dealership to respond.

Children
ProInventory360 is a business service and is not directed to children.
Changes to this policy
When we change this policy, we update the date at the top of this page.
