The basics

What is commercial truck dealership inventory software?

It is software built for the specific needs of commercial and work truck inventory: chassis plus upfit pricing, custom orders, lot audits and multi-role teams. Unlike general car dealer tools, it handles built trucks where the body and the upfit are a major part of the value.

Is ProInventory360 only for trucks?

No. It is built around commercial truck dealers, which is why it carries chassis plus upfit pricing, cab-to-axle, wheelbase and custom orders. Vans and cars sit in the same inventory and work the same way, they simply use fewer of those fields.

Is ProInventory360 only for Ford dealers?

It is built for Ford commercial and Super Duty inventory, including F-250 through F-750, Transit and E-Series, with Ford-specific features. The core inventory, audit and pricing tools fit any commercial truck operation.

Does ProInventory360 work on a phone?

Yes. It is a progressive web app that installs on a phone or a desktop from the browser, with nothing to download from an app store. Lot techs run audits from the lot; managers review from anywhere.

Does it work on iPad and iPhone?

Yes. It runs in Safari on iPhone and iPad and installs to the Home Screen from the browser, with no app store involved. The layout follows the screen: an iPad in landscape gets the full desktop layout with the side menu, and a phone gets the one-handed layout. Scan sounds respect the silent switch, so they stay quiet when the phone is on silent.

Do I need special scanners?

No. The phone camera reads the VIN barcode on the window sticker or the door jamb, so a lot tech uses the phone already in their pocket rather than a scanner gun. It runs as an installed app on iPhone and Android, installed from the browser rather than from an app store. Typing the stock number still works and always will, because a camera will not focus in every weather.

Scanning and the lot walk

How do I keep my lot inventory accurate?

Regular lot audits. ProInventory360 lets managers dispatch audits to lot techs, who verify each unit in person and report its location, keys and mileage. The app reconciles their report against the record and flags anything that disagrees, so a moved or missing unit is caught quickly instead of rubber-stamped.

How do I add vehicles without manual data entry?

Scan the factory invoice. ProInventory360 reads it and builds the record, so adding a unit takes seconds instead of retyping the window sticker. Upfit invoices scan the same way. There is no spreadsheet to import and no overnight file to babysit.

What happens when I scan a vehicle that is still on order?

It moves into inventory on the spot, stamped with that day's date in your timezone, the location you are scanning into, and who scanned it. The scan sounds different from an ordinary move, so the person holding the phone knows something larger just happened. Only a vehicle whose VIN is already on file can be grounded this way, because the barcode is what identifies it. A manager can correct the arrival date afterward if a unit sat unnoticed for a while.

How does my lot tech know a scan worked without looking?

Each outcome has its own sound: one for a vehicle confirmed where it belongs, one for a vehicle moved from somewhere else, one for a new arrival going into inventory, and a low buzz for a VIN that isn't in inventory. Techs can walk a whole row without looking at the screen. Sounds can be muted in the app, and they don't play when the phone is on silent.

The lot map and coverage

Does ProInventory360 track my employees' location?

No. A position is recorded only when somebody audits or scans a vehicle with the app open, and what it records is where that vehicle was, not where a person went. There is no background tracking, no beacon and no always-on GPS, and nothing follows a vehicle between scans. With the app closed, nothing is recorded at all.

How accurate is the lot map?

Every recorded position is drawn with a circle showing how precise that particular reading was. The circle is the point: it places a row, not a single vehicle, because vehicles stand 10 to 20 feet apart and no phone fix is that sharp. A position exists only because somebody audited or scanned that unit with the app open, and there is no background tracking.

Why is a vehicle not on the map?

Because nobody has scanned or audited it yet. Geo Coverage lists exactly those units, grouped by location so it reads as a walk rather than a spreadsheet. There is one other case: when a reading disagrees with the other readings at its own location it is set aside rather than drawn, and the screen names those units so somebody can go and look.

We have more than one lot. Does that work?

Yes. Separate properties show as separate areas rather than one stretched map, and you can switch between them. Positions are grouped by where the readings actually fall, so an overflow lot down the road reads as its own place instead of as bad data.

How current is the satellite imagery?

The imagery is a basemap from the map provider and it shows the layout of your lot: the rows, the drives and the buildings. It is not a live photograph, and any vehicles visible in it are not your vehicles. Your units are the pins drawn on top of it, from positions recorded when somebody audited or scanned them.

Your online listings

How does Feed Integrity check our online listings?

Every night the vehicles listed for sale online are compared against the vehicles actually in your inventory. Three things come back: units on your lot missing from the listings, listings for VINs you do not have, and listings for units that have already sold. The same pass reads the specifications and the figures, so a unit advertised as one trim that is a higher trim on its record, or advertised at a value that disagrees with the chassis and upfit you built, comes back as a row to look at.

What does Feed Integrity setup involve?

We set the feed connection up with you during onboarding, one connection per dealership. It is not something you switch on yourself and there is nothing for you to maintain afterward. Once it is running, the comparison happens overnight and the result is waiting in the morning.

Pricing decisions

What do Unique, Common and Crowded mean?

They count the look-alikes you already hold: the other units in stock or on order with the same spec, meaning the same model, model year, cab, drive, wheelbase, engine, body, upfits and trim. Unique means no other unit matches. Common means one to five others do. Crowded means six or more. Vans are matched by their Ford model code instead. In the broader comparisons, body upfits such as service, mechanics and dump bodies are compared with matching bodies, not plain pickups or bare chassis. Customer orders are left out because they are already sold, and a unit with no cab or body recorded says so rather than being called unique.

What does "+ND" on the market chip mean?

It is how many days this unit has been in stock past the typical days to sell for its kind of vehicle. +45D means 45 days past typical, not 45 days old. Typical days to sell is the median of at least five of your own stock sales, counted from the same date as the vehicle's age, and the chip's details name the group it came from. The chip shows nothing extra when the unit is at or under typical, or when there are not enough sales to give a figure.

What is days' supply, and how are In demand, Balanced and Slow decided?

Days' supply is how long the units like this one would last at the pace that kind of unit has been going. It takes the available units in the same group, leaving out any on hold and counting this one, and divides by recent demand: your stock sales plus the customer orders placed on the same spec over the last 90 days, or since your sales history starts if that is shorter. Under 30 days reads In demand, 30 to 90 Balanced, and over 90 Slow. With fewer than three sales and orders to go on it says Not enough sales yet, unless even three would leave more than 90 days of supply, in which case it reads Slow.

How is carrying cost calculated?

It is an estimate of floor plan interest to date. The flooring term for the unit's order type is treated as interest-free time, and from the day after it ends the app charges your floor plan rate on the full factory invoice for each day. You set the rate in Users & Dealership. Upfits are left out because they are not floored, and curtailment payments are not modeled, so every figure is labeled est.

Battery rounds

Does the battery log replace Ford warranty battery records?

No. The battery log is your dealership's own maintenance record of each check. Ford 12-volt battery warranty claims require CVLM or Midtronics test records under Ford policy.

Why does the app ask for my location when I scan, and what is the Wi-Fi warning?

So each audit, locate scan and battery check records where the vehicle was at that moment. On a battery round the app asks the first time you tap Scan, not when you open the screen, and if you say no, checks still save without a position. Nothing is recorded between scans or with the app closed. The Wi-Fi warning appears when your phone keeps reporting the exact same position for different vehicles, which happens when it is locating itself from a nearby Wi-Fi network instead of GPS. Turning Wi-Fi off during rounds fixes it.

Money, roles and your data

How do I price a truck with an upfit?

Track the chassis and the upfit separately. The effective price reflects the chassis plus the upfit value, so a mechanics or dump body truck is priced as the full built unit rather than the chassis sticker.

What is flooring time and how do I track it?

Flooring time is how long a unit has been financed on your floor plan, and an aging unit costs money every day. ProInventory360 shows the flooring time left on every unit, counted per unit with its own term by order type, so you can move a unit before it ages past its window.

What reporting does ProInventory360 include?

It surfaces carry cost and margin per unit, with flooring days, age, cost and gross sorted so the most urgent units come first, and photo coverage, which tells you which listed vehicles have no photos and are sitting invisible to buyers.

Can I control what each employee sees?

Yes. There are five roles, and each one opens to the screen its job needs. A lot tech lands on the vehicle and its location. Sales lands on quotes and pricing. A sales manager lands on the audit review queue. Owners and GMs run the store, and an admin can adjust what any role opens to rather than living with the defaults.

Which screens show cost and pricing, and for which roles?

Price Review, with margin and carrying cost, opens for owners, GMs and sales managers, and so does the market check on each vehicle. The aging and margin report opens for owners and GMs. Sales lands on quotes and pricing, and a lot tech lands on the vehicle and its location. These are the screens each role opens to for its job.

Is my inventory data isolated from other dealers?

Yes. Every record is stamped with your dealership and filtered at the database layer, not in the interface, so no other dealer can query your inventory and neither can a mistake in the app. Factory invoices and upfit bills live in private storage under your store and are reachable only through links that expire in about a minute.
